Thanks to a free plan for 10 users and 1,000 contacts, Agile CRM takes second spot on my list. The free plan grants access to email tracking tools, contact management features, unlimited deals, tasks and documents, appointment scheduling, form builders, templates and 5,000 branded emails. The biggest pro of Agile CRM is that it offers everything needed for end-to-end workflows; however, the biggest negative is that you must overcome a steep learning curve.

Users will also find that they can create one landing page, run basic reports, use one integration, view web engagements and create one full campaign workflow that includes managing tasks on calendars and Kanban boards. If you outgrow the 1,000 contact limitation, you can jump into Agile CRMโ€™s paid plans, which start at $14.99 per user per month (billed monthly).

Testing Insights

A screenshot of Agile CRMโ€™s Kanban board.Agile CRMโ€™s Kanban boards are spartan but work well.

Agile CRM is a robust platform with many task, contact and pipeline management tools. While the interface is easy to navigate, I found some of the tools to be less intuitive. In particular, the automation builder isnโ€™t as user-friendly as it could be and the lack of automation templates to get new users started is a negative. Still, if you spend time with Agile CRM and learn how to use it, youโ€™ll find it a potent CRM platform.

Initially designed as an email marketing platform, Mailchimp has since added many CRM tools, which have caught the attention of many customer relationship management teams. Youโ€™ll find all the tools youโ€™d expect to find in a free CRM solution, including contact management, surveys and forms and audience behavior reports. Testing Insights

Mailchimp features a functional but not the most aesthetically pleasing interface. Still, the menus allow you to jump between tools efficiently. Most of Mailchimpโ€™s tools are surprisingly easy to use, especially the form and email builders, and due to numerous templates, you can quickly create impactful designs. Most teams should have no problem learning how to use Mailchimp. Still, if you run into problems, you can jump into the helpful knowledge base.

HubSpot is split into several platforms (marketing, sales, service, content, operations and commerce). Still, youโ€™ll find a smattering of tools from each platform in HubSpotโ€™s Free Tools plan, which makes it a compelling choice for SMBs looking for a free CRM. Along with standard lead and contact management tools, youโ€™ll also find that the free plan supports landing pages, web pages, email marketing, list segmentation and support for payment processing with Stripe.

A screenshot of HubSpotโ€™s website builder.HubSpotโ€™s free plan supports landing pages and webpages.

Users will also find basic reports, dashboards, integrations, a Facebook Messenger integration for quick interactions, a meeting scheduler, templates and the ability to track deals. The downside is that some tools are lite versions, and you can only input 1,000 contacts. I feel that most SMBs will rapidly outgrow these limitations, meaning youโ€™ll need to invest in HubSpotโ€™s Starter Customer Platform for $20 per user per month (billed monthly) rather quickly.

Testing Insights

A screenshot of an invoice in HubSpot.HubSpotโ€™s tools, like the invoice creator, are neat and tidy.

I had no difficulties navigating HubSpot. The interface is clean, the menus are logical and the tools are intuitive. The first time a tool is used, an explanation of what it does is displayed and a link to a knowledge base article is shared, which is a nice touch. Compared to Mailchimp and Agile CRM, HubSpot is a walk in the park and should pose no problems for teams old and new.

Freshsalesโ€™ free CRM plan focuses heavily on contact management, customer interaction and task and deal management. However, the free plan is actually light on features. Still, the available toolsโ€”including Kanban boards, email templates, email sync (which allows you to connect your inbox), a phone dialer, basic report dashboards, website tracking and an AI chatbot that can answer customer queries and transfer them to agentsโ€”are quite robust.

Freshsales reminds me a lot of Asanaโ€”a project management platformโ€”and thatโ€™s no bad thing, as I regularly laud Asanaโ€™s design. Expert Take

Bitrix24 offers tools for many work areas, including HR, project management, sales and CRM. In terms of free CRM tools, Bitrix24 provides a decent collection for SMBs, especially those with bigger teams. The free plan supports unlimited users, deals and contacts, as well as a product catalog, one pipeline and custom fields to tailor Bitrix24 to your current campaign. Youโ€™ll also find client management and task planning tools, social media messaging and a live chat widget.

Bitrix24โ€™s Kanban boards are colorful and easy to use.

Unfortunately, Bitrix24 severely limits user support, only allows five automation triggers and offers very few integrations, which is a shame. The real kicker, though, is the cost of Bitrix24โ€™s paid plans. If you start using Bitrix24 and find that you need more features, the cheapest plan you can move into costs $61 per month (billed monthly) for five users, while the most expensive plan costs $249 per organization per month.

Entrepreneurs starting a small business (home or otherwise) should look at Zoho CRM. The free CRM supports integrations with other Zoho platforms, automations, recurring tasks, three users, leads, accounts, contacts and deals. It also allows users to upload 1GB of deal-related documents. Users can also track and manage tasks such as meetings and calls on Kanban boards and calendars, run campaigns and reports, and use templates and deal pipelines.

A screenshot of a deal board in Zoho CRM.Zoho CRMโ€™s user interface is basic and bland but easy to navigate.

The bad news is that users may run into contact storage issues if their business grows rapidly, as Zoho CRMโ€™s free plan only provides enough data storage (10MB) for roughly 5,000 records. Unfortunately, data backup in the free plan costs $12 per request. You can subscribe to a paid plan if you need more tools and features. Testing Insights

A screenshot of a leads list in Zoho CRM.The Zoho CRM interface is bland but easy to navigate due to intuitive menus.

Like other Zoho platforms I have used, Zoho CRM is user-friendly. Thanks to excellent navigation menus, those new to CRM software will be able to dance around Zoho CRMโ€™s various tools in no time. I found it straightforward to switch between contacts, accounts and deals and pull various reports. Integrating Zoho CRM with other Zoho platforms is also a piece of cake and can make Zoho CRM even more powerful.

Methodology

I take software testing very seriously. So, to give software platforms a fair shake, I use our proprietary rubric to help rank multiple features and test the top platforms. For free CRM software, 30 platforms were chosen and 49 features across seven categories were analyzed. I then thoroughly tested the top eight platforms. Each CRM was then awarded a final score. To learn more about how we test CRMs, check out our CRM ratings methodology.

How To Choose the Best Free CRM Software

Now that you know my favorite free CRM platforms, itโ€™s time to choose one for your business. Of course, only you know what your business needs and what features are important to you. Still, as a general rule, you should consider platform features and how much software may cost if you move up to a paid plan later. Weโ€™ll quickly examine features and value in the coming sections.

Essential Free CRM Software Features

When discussing free software, you must keep expectations regarding features in check. Youโ€™re not going to get every tool and the kitchen sink for free. Still, there are some essential CRM features that you should be on the lookout for. At the very least, free software should include some of the features listed below.

  • Contact management. If a CRM doesnโ€™t offer an easy-to-use contact management tool, then thereโ€™s not much point in it being a CRM. Ensure any platform you want to use makes it easy to enter contact information and interactions.
  • Customization. No two businesses are alike, so itโ€™s essential that any software you use offers customizations, such as customizable fields, to tailor it to your needs.
  • Automation. Automations can take care of repetitive tasks, streamline processes and increase productivity. Itโ€™s a good idea to ensure any CRM you use offers an automation builder.
  • Integrations. Integrating CRMs with other platforms your SMB uses, such as Stripe and PayPal, e-commerce platforms such as Shopify or WooCommerce, and social media applications such as Facebook, will help you create automated workflows and cross-channel campaigns.
  • Task management. Tracking customers in your pipeline and all customer-related tasks, and scheduling meetings and calls are essential. Ensure your CRM platform offers project views such as Kanban boards, calendars and to-do lists so you can stay on top of tasks.
  • Reports. Most free CRMs provide users with reports to help you analyze data from conversion rates to staff performance. For this reason, the free CRM platform you choose should offer some CRM analytics.

Value

While this roundup features free CRM software, itโ€™s always worth considering how much it could cost should you outgrow the free software limitation. Generally, most CRM platforms offer multiple paid plans that you can move into as your business grows. Plans are usually split into entry-level, mid-tier, top-tier and enterprise. Entry-level plans generally start at around $10 per month, while mid and top-tier plans cost roughly $20 to $30 and $50 to $70, respectively.

When choosing a free CRM platform, take a few minutes to analyze the cost of the paid plans. You do not want to find yourself in a situation where you need more features and cannot afford to pay for higher-tier plans with your provider.
